Automating Inventory Deliveries & Record-Keeping

Application 15: You want to verify the amount of fuel the common carrier drops in your tanks and when.

Solution: You can use the Gasboy site controller delivery card feature and require the fuel truck driver to slide the card at the card reader to record the product and gallons being delivered. When the card is slid through the reader, the card reader will prompt for the tank number and gallons. The site controller will create a fuel transaction indicating it is a delivery and it will include the tank number, gallons, and the date and time. You can have the Infinity System look for delivery transactions, and Email the transactions to your desired recipients. You can also have the Infinity System automatically run and Email the tank gauge delivery report to your desired recipients so they can compare that to what the driver indicated they delivered.

Step-by-Step:

Encode A Delivery Card

•  Reference your Gasboy CFN Series Card Encoding Manual for the card format for setting up a fuel delivery card to give to your fuel delivery driver.

Set up the Infinity System to Email Delivery Transactions

•  Delivery transactions include a delivery notation. Also, if your site controller is directly linked to your tank gauge, delivery messages from the tank gauge to the site controller also include a delivery notation. The default Infinity configuration includes a delivery event which is included in the delivery event type. This event type is assigned to a delivery hold file which collects any delivery events which occur over a 60-minute period, and sends them in one Email to the delivery alert group.

•  Therefore, using the default Infinity configuration, all you need to do is enter your designated recipients into the delivery alert group and they will receive the delivery card transactions and the delivery messages from the tank gauge to the site controller.

•  To enter your recipients into the delivery alert group: on the Infinity Site Status page, click Infinity Configuration .

•  On the Infinity Configuration Menu page, select the desired site in the Site: drop down box and click the Load button.

•  In the Common Configuration section, click Alert Groups .

•  Find the alert group called delivery and click on the radio button next to it.

•  On the bottom of the screen, click the Change button.

•  In the Email Addresses box, you can list the Email address(es) that you wish to be notified when the delivery events occur. Position your cursor at the end of the last entry and press ENTER. Type the address. If you have multiple entries, press ENTER after each entry so there is one entry per line. When you are finished, click the Save button.

Set up the Infinity System to Automatically Run and Email the Tank Gauge Delivery Report

•  The default Infinity configuration is set up to send the VR In Tank Delivery Report or the Incon Delivery Report every morning to the Delivery alert group. Therefore, if you added your desired recipients to the delivery alert group in the above steps, you will already be set to receive the report.

•  If you wish to check the time the report is scheduled to run, on the Infinity Site Status page, click Infinity Configuration .

•  On the Infinity Configuration Menu page, select the desired site in the Site: drop down box and click the Load button.

•  In the Common Configuration section, click Report Schedules .

•  Check the time the report is scheduled to run. You can use the Help link in the upper right corner to find an explanation of the time parameters.

•  If you wish to change the time, click the Change button at the bottom of the screen. Make your changes and click the Save button.
